How do I choose what each role can do?

Open Users › Roles, pick a role, set each module to None, View or Edit, choose which records it sees, and flip the rules. Saves at once.

Updated October 29, 2026

Open Users › Roles, pick a role, then choose what it can see and change. Every change saves at once, for everyone with that role.

Also called: permissions, access, access levels, record access, own records only, custom records, work orders, rôles, permissions, accès, seulement ses fiches, fiches personnalisées

Every app starts with Admin, Office, Sales rep, Technician and No access.

Step 1: Open the Roles tab

Click Users, then Roles. Your roles are on the left, highest first.

Click: Users › Roles

The Roles tab, with the list of roles on the left and the open role on the right

Step 2: Pick a role and set each module

Click a role. For each module, pick None (they don't see it), View (they see everything, change nothing) or Edit.

To rename the role, type in Role name. Admin can do everything, so only its name changes.

Click: a role › None, View or Edit

A role open, with None, View and Edit for each module and Which ones under Leads & deals

Records you added to your app (like work orders) show under their heading too. When you ask Alori for a new kind of record, it first asks who sees and changes it.

Work orders under Operations, set to View

Step 3: Choose which records they see

Under Customers, Companies and Leads & deals, Which ones picks the records this role sees:

  • All: every record.

  • Their team's: records owned by anyone on one of their teams. Make teams in Users › Teams.

  • Only theirs: records where they are the owner.

When they can see a deal, they can also open its customer and company, read-only.

Click: a role › Which ones › All, Their team's or Only theirs

Which ones under Companies and Customers, set to All and Only theirs

Step 4: Set the rules

Under Rules, turn on what this role may also do:

  • Also see records nobody owns (once a type is limited): website leads and imports.

  • Change stages and prices

  • See every job and task, not only their own

  • See prices and amounts

  • Sort the new tasks Alori makes

  • Change the company memory (what Alori knows)

  • Delete records. Off: they can only undo what they just made.

Click: Rules › the switch

The rule Also see records nobody owns, with its switch on

Make a role, change the order or delete one

  • New role: click New role. It starts with no access.

  • Order: drag a role up or down. Admin stays on top. Docs shared with "a role and above" follow it.

  • Delete: open the role, click Delete role, then Delete. Its people move to No access.

To give someone a role, pick it next to their name in Users.

If it doesn't work

  • "Your app updates its roles the next time it is published." Your app runs an older version. Publish your app once, then try again.

  • "You've reached the limit of 20 roles." Delete a role you don't use.

  • "Your team needs at least one role." The last role can't be deleted.
